Invoicing under more than one business name
Running two companies, or a company and a side practice, without the paperwork bleeding together: separate numbering, separate branding, separate books, one place to work.
Plenty of people bill under more than one name: a limited company and a personal practice, two ventures, a trading name alongside the registered one. The invoicing problem this creates is not complexity, it is bleed. Paperwork from one leaking into the other.
Keep the numbering separate
Each business needs its own sequence with its own prefix. ETH-2026-0001 and GRO-2026-0001 can be issued on the same morning without ambiguity. A single shared sequence means each company’s numbers have gaps wherever the other one issued an invoice, and explaining that to an accountant is a conversation you do not want.
Keep the identity separate
Different logo, address, tax number and bank details, and usually a different look. A client should not be able to tell from the document that the two businesses share an operator, unless you want them to.
Keep the books separate, and the view joint
Each business needs its own revenue figures, because that is what tax returns and accountants work from. You also need one place to see what you are owed in total, because that is your actual cash position. Those are two different questions and both deserve an answer.
The same client, twice
A client may buy from both businesses. Keep the client record inside each business rather than shared across them: the addresses, tax details and terms may legitimately differ, and merging them creates the bleed you were avoiding.
What not to do
The common workaround is one spreadsheet with a column for which business it was, or two copies of the same template with the logo swapped. Both work until the day you send an invoice with the wrong bank details on it. Separate sequences and separate branding, enforced by the tool rather than by remembering, is the whole fix.
